- Responsible for providing operations, administrative, and executive support to the MD and APAC and Europe Senior Managers
- Provide logistics and co-ordination support to the APAC and Europe audit teams
- Support global departmental operations and activities
- Operations Support to the MD and APAC and Europe Senior Managers. Specific responsibilities include:
o Maintaining staff/resource calendar with approved leaves, travel schedule, travel itineraries, etc.
o Update and maintain APAC and Europe budget to actual results and monitor WBSEs.
o Track departmental initiatives
- Executive Assistance for the MD and APAC and Europe Senior Managers. Specific responsibilities include:
o Schedule leadership meetings per CRM plan and co-ordinate with EAs of senior leaders to manage complex scheduling conflicts.
o Arrange and coordinate internal and external meetings and trainings. Handle routine and non-routine logistics (e.g. contact meeting participants and coordinate responses, compose meeting materials co-ordinate logistics, travel, facilities, F&B, agenda, and speaker diaries for trainings, group meetings, and leadership visits).
o Coordinate complex travel arrangements, typically involving multiple changes and destinations based on understanding of Executive’s availability and obligations. Support with travel documentation and procedures (itineraries, visa/passport procedures).
- Logistics and co-ordination support for APAC and Europe teams, including:
o Procurement support - IQN requests, Purchase Orders, Enterprise ID creation.
o Coordinate work with third-party suppliers – both internal and external – to address support needs.
o Co-ordinate subscriptions and payments for professional fees and delegate charges for trainings and conferences.
o Scheduling candidate interview with HR and arranging interview logistics.
- Global Operations Support, including:
o Post/Maintain on SharePoint sites and send out Customer Surveys.
o Maintain departmental Org Chart
o Maintain report distribution list and update with changes in organizational structure and role changes.
o Post graduate degree preferred.
o Commerce or Accounting background preferable.
Skills & Qualifications Required:
- Other Required Skills:
o Be able to multi-task and support multiple simultaneous requests through prioritization.
o Strong issue identification/analysis, problem-solving, and facilitation skills.
o Sense of responsibility, initiative and high quality work standard.
o The job does not require shift working but the individual should have the flexibility to adjust for working with various time zones.
o Technology savvy and able to quickly learn and use systems and tools.
o Strong PC skills (MS Office, including Excel, Access, Word and PowerPoint).
- Travel Requirement:
o The role does not generally require outstation travel but there could be rare instances of domestic or international travel involved, although short duration if at all.
