Job Description
Roles and responsibilities include:

Admin Responsibilities

1. Assets & Database Management

  • Keep a track of the assets in / out of warranty
  • Assets assigned to employees and remaining in the store
  • Take necessary approvals & place order for assets when shortage is identified
  • Decommission of assets which are defective, faulty
  • Address issues raised by employees with their current assets
2. On and off boarding
  • End to end support for new joiners
  • Allocation of desk & assets set up
  • Collection of assets in hand and RSA tokens for departing employees
  • Raise respective EURCs for on boarding and off boarding employees
3. Desking and Capacity Management
  • Track the desks available and occupied
  • Send a monthly report to central team in Mumbai with the latest seat map file
  • Audit checks that no assets are lying without being locked
  • Health check to identify unused assets on the desks
4. Travel
  • Handling end to end travel of employees
  • Tracking approvals
  • Issuance of ticket and hotel accommodations
  • Travel insurance
  • Travel money
  • Expenses settlement
5. GAT
  • Ensure the new hires are on boarded into the GAT tool
  • Update comp offs, create profiles, assign admin group and address any other issues pertaining to GAT
  • Work with GAT central team for yearly activity of carry forward leaves
6. Events and Town hall
  • Point of contact for all CCB and CBB events and town halls
  • Liaise with Facilities, GS&I, mail room, GRE and Dining teams for all the necessary arrangements and approvals
  • Participate in the meetings related
  • Target communication if required
7. MI and reports
  • On-call allowance data to collate, consolidate and send it to HR & Pay Roll
  • Liaison with Finance and vendors for invoice processing
8. Other support activities
  • Order for stationery and other requirement for the team.
  • Assist other leads, HR in booking meeting rooms, printing the certificates for all UOP related activities, and weekend working arrangements
  • Sending out communication to CORP card holders to ensure that their cards are active
  • Regular reminders to ensure that Desk movement is always kept informed
9. ED – Executive assistance
  • Manage meetings
  • Travel arrangements
  • Filing expense reports
  • OBO for mails – only as applicable
  • Meeting rooms
  • Access to cross site locations
  • Co-ordination for meetings of visitors
The incumbent should be well versed with

email communication and other uses of outlook exchange, Microsoft office tools, very good spoken and written English communication skills

The incumbent should be able to efficiently multi–task and work under time constraints. The incumbent would be expected to manage the calendar of two to three senior members at a time. The incumbent would be expected to support the entire team for the tasks listed above.
